Aquira Back to Basics: Adding a Contract
We’re back for another installment of our Aquira Back to Basics series, learning how to add a contract. As part of your daily work, we’ve already created a client and populated their profile so that we can finally add a contract. Dawn Newberry, RCS Traffic Specialist, reviewed how to properly enter a contract, followed by Aquira’s spotlines and how users can schedule or adjust any future scheduled spots.
Depending on where you are in the sales process, some stations will introduce a proposal step before adding a contract so that a traffic manager could see a pending deal, although, it’s not technically approved to be a contract. Otherwise, Traffic | Contract will allow users to add, view or edit contracts. Dawn reviewed how power users can establish reoccurring filters or searches under the Contract window. Remember, if it’s important to you – then identify that piece. If there’s a specific field, attribute, value, filter or search that you are running repeatedly, then allow Aquira to work with you by customizing your workflow.
Aquira’s contracts include various fields for the end user to fill out. Consider these as prepopulated attributes based on the client or opportunities to override this specific contract. Make a note of the Rate Card, Spot Format, and Billing Frequency as those are some of the important fields while working within Contracts. For example, users can define how Aquira schedules the spotlines either by a “F” Fixed, “M” Moveable, or “X” Flexible Spot Format.
As we continue working through the contracts workflow, users can review their contract, totals, and any pending warnings via the Summary subtab. Now, with all the required information filled out, it’s time to schedule our spotlines, found under the Spotlines subtab. Note the important fields that allow for further control, like the Start Date, Number of Weeks, Week On, Week Off and Break Positions. Select your stations on the right and then plot your spotlines. Use X for Aquira to rotate your contract’s spotlines or manually insert and edit the desired scheduled spots. Two final noteworthy areas, Dawn also covered the Charges and Media subtabs. Charges is used if you have a sales package that includes an additional charge, like a live talent fee. Traffic Managers could add additional changes to the contract and spotlines based on the desired Charge Type. The Media subtab will allow Traffic Managers to attach specific pieces of media, but more importantly, rotate or restrict any media when there’s multiple pieces of media associated with a specific contract.
